This Privacy Policy explains how Precision Touring, LLC(“Precision,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit our websites (including getprecision.coand the tenant sites we operate), create an account, or use our tour-management and carrier-portal software (collectively, the “Services”).
We are a business-to-business software-as-a-service provider. Most personal information we process is provided to us by our business customers (tour managers, production companies, and motorcoach operators) about themselves, their crew, vendors, venue contacts, and the third parties they choose to enter into the Services. In that context our customers are the “controllers” or “businesses” of that information, and Precision is a “processor” or “service provider” acting on their instructions. This Policy describes our practices for information we collect directly from visitors and account holders. For customer end-user data, please also see our Data Processing Addendum.
1. Information We Collect
1.1 Information you provide
- Account information. When you sign in with a magic link, we collect your email address and (when supplied) name, company, role, and tenant affiliation.
- Tour and business data. When you use the Tour Manager portal, we process the show dates, venues, routing, fleet, crew records, riders, advance forms, settlements, per-diem distributions, expenses, vendor invoices, receipts, and documents you upload (which may include passports, work permits, tax forms, insurance certificates, and similar materials).
- Carrier data. When you use the Carrier/Operator portal, we process your company information, vehicle records (including VIN and license plate), photos, rate cards, availability, booking requests, and dispatch records.
- Communications. When you contact us, respond to a venue advance form, or invite collaborators, we receive the contents of those communications.
1.2 Information collected automatically
- Device and usage data. When you visit the Services, we automatically collect your IP address, browser user-agent, screen size, referring URL, the pages you visit, and an approximate geographic location derived from your IP (city, region, country).
- Cookies and similar technologies. We use first-party cookies to keep you signed in, remember your tenant, run our beta gate, and remember opt-outs. See our Cookie Policy for the full list.
- Session identifiers. We assign a rotating browser session identifier (30-minute idle expiry) so we can measure traffic without identifying you personally.
1.3 Information from third parties
If you choose to connect a third-party service (for example, QuickBooks Online via Intuit’s OAuth), we receive the data you authorize that service to share with us in order to perform the integration you requested.
1.4 Sensitive information
The Services allow our customers to upload documents that may contain sensitive personal information — for example, passport numbers, visas, work permits, tax forms, COVID/vaccination records, dietary restrictions, allergies, and emergency contacts for crew members. We process this information only on our customer’s instructions and only to provide the Services. We do not sell sensitive personal information and we do not use it for advertising.
2. How We Use Personal Information
We use personal information for the following purposes:
- Provide the Services — authenticate users, render tour and carrier portals, generate documents, send transactional notifications, and store the data customers create.
- Operate AI features — parse pasted routing sheets, optimize routes, generate techpacks from venue advance forms, and answer tour-context questions through our integrated assistant. See Section 6.
- Maintain security and prevent abuse — detect fraud, enforce our Acceptable Use Policy, and investigate misuse.
- Improve the Services — understand usage, debug errors, and prioritize features. We use aggregated and de-identified data for these purposes.
- Communicate with you — respond to support requests, send service announcements and security notices, and confirm account actions.
- Comply with law — respond to lawful requests, enforce our agreements, and protect rights, property, and safety.
We do not send marketing emails to account holders or site visitors today. If we add marketing communications later, we will provide a clear opt-in and an unsubscribe mechanism, and we will not use sensitive personal information for that purpose.
3. How We Share Personal Information
We share personal information in the following limited circumstances:
- With your tenant or your tour. Information you add to a tour is visible to the other authorized members of that tour, subject to role-based access controls. Information you add to a carrier portal is visible to authorized members of that operator.
- With sub-processors. We use a small set of third-party service providers to host the Services, send transactional email, run AI features, and similar functions. The current list is published at /sub-processors and each provider is contractually bound to use the information only to provide services to us.
- With your integrations. If you connect a service such as QuickBooks Online, we share with that service the data you authorize for that integration.
- For legal reasons. We may disclose personal information when we believe in good faith that disclosure is required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Precision, our users, or others.
- In a business transfer. If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, personal information may be transferred as part of that transaction, subject to standard confidentiality protections.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. We have not done so in the preceding twelve months, and we do not have any plans to do so.
4. Cookies, Tracking, and Opt-Out Signals
Our use of cookies and similar technologies is described in the Cookie Policy. Because we do not engage in cross-context behavioral advertising and we do not sell personal information, we do not display a cookie consent banner. We honor browser-based Global Privacy Control (“GPC”) signals as an opt-out request where applicable law treats our processing as a “sale” or “share.”
5. How Long We Keep Information
We retain personal information for as long as we need it for the purposes described in this Policy:
- Account data: while your account is active and for up to 90 days after termination, after which it is deleted or de-identified.
- Tour and carrier data: for the life of the customer relationship; customers can request export and deletion on termination per the DPA.
- Uploaded documents (passports, tax forms, etc.): stored only as long as the customer keeps them in the Services. Customers can delete at any time.
- Site analytics (site_visits records): retained for up to 24 months from collection, then deleted.
- Logs and audit records: up to 12 months, longer where required for security investigations or legal obligations.
- Backups: may persist for up to 30 days after the source data is deleted.
6. Artificial Intelligence Features
The Services include AI features that send your prompts and selected tour or carrier context to third-party large-language-model providers listed in our Sub-processors page. We do not use customer data to train third-party AI models. Our model provider contracts prohibit the use of API inputs and outputs for training. AI outputs are generated automatically and may contain errors; you remain responsible for verifying anything material before relying on it.
7. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, encryption at rest at the database layer, row-level security on tenant-scoped tables, short-lived signed URLs for file downloads, scoped service credentials, and access logging on financial data. No method of transmission or storage is perfectly secure; we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately at security@getprecision.co.
8. Your Rights and Choices
Depending on where you live and the type of personal information involved, you may have the right to:
- request access to the personal information we hold about you;
- request correction of inaccurate or incomplete personal information;
- request deletion of personal information;
- request portability of personal information you provided to us;
- opt out of any “sale” or “sharing” of personal information (we do not engage in either);
- limit our use of sensitive personal information (we already limit such use to providing the Services);
- appeal a decision we make about your request.
To exercise these rights, email privacy@getprecision.co. We will verify your identity before responding by matching your request to an account or by other reasonable means. If most of the information about you was provided to us by one of our business customers, we will route your request to that customer and assist them in fulfilling it.
You will not be discriminated against for exercising your privacy rights. You may designate an authorized agent to submit a request on your behalf; we may require the agent to provide proof of your authorization.
9. State-Specific Disclosures
This section provides additional disclosures for residents of certain U.S. states whose laws may apply to our processing in the future as our scale grows. Today, the volume and revenue thresholds of those laws are not met, but we provide these disclosures voluntarily.
9.1 California (CCPA / CPRA)
In the preceding twelve months we have collected the following categories of personal information described in California Civil Code § 1798.140: identifiers (name, email, IP); customer records (account, billing, business contact); commercial information (transactions, settlements); internet or network activity (logs, analytics); geolocation (city-level from IP); professional information; and, when uploaded by our customers, sensitive personal information (government identifiers from documents, precise health details such as allergies, and financial account information). The sources, purposes, and recipients are described in Sections 1, 2, and 3 above. We do not sell or share personal information for cross-context behavioral advertising, and we do not use or disclose sensitive personal information beyond the purposes permitted by Cal. Civ. Code § 1798.121(a). We retain personal information as described in Section 5.
California residents may exercise the access, correction, deletion, portability, opt-out, and limitation rights described in Section 8 by contacting privacy@getprecision.co or by submitting a Global Privacy Control signal from your browser. You also have the right to appeal a denial; submit appeals to the same address with the word “APPEAL” in the subject line.
9.2 Other states with comprehensive privacy laws
Residents of Colorado, Connecticut, Delaware, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, and Virginia — and any other state that adopts a comparable law — have the rights described in Section 8 to the extent provided by their state law. Most of these laws exclude business-to-business contact data from their scope; some include data-minimization, sensitive-data, or universal-opt-out-signal requirements that we comply with as a matter of policy.
9.3 Other U.S. residents
If your state has not enacted a comprehensive privacy law, you can still exercise the rights described in Section 8 and we will respond on a good-faith basis.
10. Children’s Information
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided personal information to us, please contact privacy@getprecision.co and we will delete it.
Our customers occasionally enter information about minors into guest-list, crew, or family-accommodation features. Customers agreeing to our Terms of Service represent that they have a lawful basis to do so and that they have collected any required notices or consents from a parent or guardian.
11. International Users
The Services are operated from the United States and are intended for users located in the United States. If you access the Services from outside the United States, your information will be transferred to, stored, and processed in the United States. We do not currently offer the Services to data subjects in the European Economic Area, the United Kingdom, Switzerland, or other jurisdictions whose laws would require specific transfer mechanisms.
12. Do Not Track
We do not respond to browser “Do Not Track” signals at this time, because there is no industry-standard interpretation of them. We honor Global Privacy Control as described in Section 4.
13. Changes to this Policy
We may update this Policy from time to time. When we do, we will post the updated Policy at this URL, change the “Last updated” date above, and, for material changes, provide additional notice such as an in-product banner or an email to account holders. Your continued use of the Services after the new Policy takes effect means you accept the updated Policy.
